REPORTING TO: District coordinator
WORK STATION: Rakai, Kyotera, Masaka, Kalungu, Bukomansimbi, Lyantonde, Lwengo, Sembabule, Butambala,  Gomba, Mpigi, Kalangala

Major Function:
RHSP Uganda Jobs 2018: The position will provide finance, administrative and secretarial for the project activities in the district as appropriate. He/she will participate in drawing of periodic work plans/budgets-in relation to the set targets, account for all the project field funds and ensure proper utilization of project assets and equipment.

RHSP Uganda Jobs 2018: Develop a database of contact information; maintain distribution lists for various kinds of project communication and schedule all project meetings; attend and take minutes as appropriate.

Tasks and Responsibilities:
• Participate in drawing of periodic work plans/budgets-in relation to the set targets
• Account for all the project field funds and ensure proper utilization of project assets and equipment

Develop monthly schedules to allocate use of vehicles
• Supervise the drivers
• Support in the management of project resources such as human resources, finances, vehicles among others
• Prepare financial reports on a monthly, quarterly and annual basis
• Assist with all aspects of administrative management, directory maintenance, logistics, equipment inventory and storage
• Preparing meeting minutes, meeting notes and internal support materials.
• Assigns jobs and duties to sanitary officers as required.
• Schedules appointments and meetings with the district and other stakeholders
• Manages staff Leave schedules
• Assists in the preparation of activity budgets and expenses

Education, Key Competencies and Experience
• Bachelor’s degree in Business administration or a related field
• A minimum of two years relevant work experience
• Basic accounting and book keeping skills
• Good secretarial skills, including advanced abilities in word-processing, spreadsheets, filing, and general
computer use; knowledge of MS Excel, Word and other common software programs is essential
• Excellent communication and interpersonal skills; strong writing skills are essential
• Ability to perform typing/word processing duties; knowledge of written communication formats and composition of such communications is crucial
• Knowledge of general office practices and procedures particularly in filing, gathering and compiling information
• The facility to consistently complete multiple requests in a timely fashion; ability to be creative in finding solutions to challenges
• And ability to work independently and with minimal supervision

About Okimanyi Project:

African Prisons Project Jobs: In response to the health related challenges faced by people in prison communities, APP is implementing the Okimanyi project. This is a health education project targeting children and young adults living and working in Luzira Prison Community. These include prison staff, children of prison staff and prisoners. This project aims to improve health and wellbeing among the children and young adults living and working in the prison community using sports and recreation activities to drive healthy behavioural messages among the target population.

Job Summary: The Health Project Volunteers will support the implementation of the project through the following activities:

  • Health awareness sessions assimilated into outdoor and indoor games like Football, Netball, Basketball and Chess.
  • Recreation and co-curricular activities like Poetry, Debate, Creative Writing, Spelling Bee, Music, Dance and Drama.
  • Drafting and implementation of a Child Protection Policy.

The Volunteers will be required to conduct tutorship, training, coaching and mentorship in at least one of the activities mentioned above. Potential volunteers need to be mindful of the fact that the primary beneficiaries to this project are children and young adults. This means that they should have the capacity and willingness to work with beneficiaries in this age group.

Key Duties and Responsibilities:

Project Management:

  • Coaching, tutoring and mentoring project beneficiaries and equipping them with skills in a varied range of health education, sporting and co-curricular activities.
  • Assist the project officers in organising, developing, scheduling and delivering a varied range of health education, sporting and recreational activities including but not limited to indoor and outdoor sports events as well as Music, Dance and Drama events.
  • Support the project teams in scheduling tournaments and events in line with different project health education and APP programme themes.
  • Offer technical support in the drafting of a Child Protection Policy that is tailored to the peculiar needs of the children and vulnerable adults in the prison community.

Monitoring, Documentation and Reporting:

  • Ensure timely preparation of weekly and monthly progress updates and reports.
  • Ensure that regular reports (monthly, quarterly and annual) are provided in a timely manner, in line with the organisational and funding requirements.
  • Promote and undertake the documentation of good practices and synthesis of lessons learned, and ensure that these are reflected in improved implementation of project activities.
  • Support the project team in obtaining and documenting success stories, news articles and inputs to newsletters, websites and social media pages.
  • Ensure weekly updates of the project database with data collected from project beneficiaries and activities conducted.
  • Enabling and supporting the appropriate dissemination of accurate results and findings to beneficiaries, partners and policy makers at various levels and in close collaboration with other project staff.
  • Closely monitoring of project implementation by stakeholders, partners and beneficiaries, as well as recreation task force members.
  • Monitoring and reporting any and all developments in areas of operation that have a bearing on the results of the project.
  • Tasked with collecting data and keeping records for monitoring and reporting purposes.

Planning and Implementation:

  • Provide support in drafting of coordinated plans with the teams of various departments including finance and procurement to support the implementation of the project in a timely manner.
  • Preparation of work plans and operation plans for various elements/ components of the project on a monthly and quarterly basis.
  • Monitor progress on regular basis and give timely suggestions for corrective actions.

Coordination with the Partners:  Complying with the Uganda Prisons Service rules and regulations in carrying out their work.

Other: Perform any other duties as reasonably requested by the Health Programme Lead and other project staff.

Qualifications, Skills and Experience:  

  • The ideal candidate should preferably hold a Certificate or Bachelors Degree in Sports Science and Management, Music, Dance and Drama, Social Work and Social Administration, Child and Family Studies.
  • Basic First Aid.
  • Sports Coaching/training.
  • Broad knowledge and understanding of sports, recreation, library or co-curricular activities.
  • Knowledge/experience in drafting and implementation of Child Protection Policies.
  • Experience working with special needs groups like children, young adults or prisoners.
  • Excellent communication and interpersonal skills.
  • Ability to prioritise, rank tasks, organise work efficiently and deliver assignments in a timely manner, often under time constraints.
  • Ability to work independently and handle a variety of activities concurrently.
  • Ability to establish and maintain positive work relationships with a wide range of project beneficiaries, stakeholders and co-workers.
  • Ability to communicate effectively, in writing and orally, in English.
  • An articulate and confident manner, demonstrating sensitivity and diplomacy in order to maintain good relationships and solicit support for projects.
  • Excellent time management skills with the ability to prioritise tasks, work with minimal supervision and work calmly under pressure.
  • Highly motivated and goal oriented.

Job Summary

World Vision Uganda Jobs: Timely/quality implementation of field level programmatic activities and sponsorship performance is in line with targets and partnership standards and managed in a manner that contributes to sustained and improved child wellbeing.

Major Responsibilities:

Implementation and reporting of planned activities

  • Participate in planning and budgeting, preparation of work plans, implementation of planned activities and monitoring/ reporting of progress.
  • Facilitate and monitor the implementation of planned activities and community level engagements.
  • Mobilize and facilitate the engagements of stakeholders during planning and development meetings, workshops and other fora.
  • Identify local level partners and support and facilitate the partners in the implementation of planned activities.
  • Facilitate stakeholders and partners in supervision and monitoring of programmatic activities.
  • Support the collection and documentation of impact and success stories.

Community engagement and advocacy

  • Innovatively support communities including RC households to participate and benefit from the programme development.
  • Sensitize community on sponsorship (RC guardians, community leaders and other community members) and facilitate participation in the sponsorship management project.
  • Train the children committees in the respective parishes in advocating for their wellbeing.
  • Support and facilitate the children committees to plan for and hold meetings at all levels (School, parish and sub county) on a regular basis and document findings
  • Support the children committees to conduct outreaches within their villages/parishes and sub counties
  • Mobilize and facilitate active participation of children and their communities to participate in planning, monitoring and implementation of community development initiatives.
  • Build the capacity of children, families and community to collectively engage local leaders on identified issues.
  • Follow-up on commitments by leaders on improvement of the wellbeing of children.
  • Mobilize communities to participate in annual children care and protection days – such as the Day of African child.
  • Plan for and implement regular scheduled and unscheduled HR audits and other risk mitigation measures.
  • Ensure identified gaps are addressed within agreed timeline(s) and recommend to management appropriate action to mitigate future risks.

Management of sponsorship performance

  • Monitoring of RC in line with partnership standards.
  • RC records and files well managed and stored securely.
  • Support RCs to correspond with sponsors in a timely manner.
  • Facilitate processing of all special mails; Christmas cards, Spontaneous letters, APR, introductory letters within partnership standard.
  • Support children to respond to sponsor correspondences- Sponsor letters and introductory letters.
  • Support management of Support Office Queries, Gift Notifications, mails, and file copies of correspondences in children’s files.
  • Conduct and produce quality periodic mailings (APR and Christmas Cards).
  • Take quality pictures according to the required standards
  • Mobilize and support RC families to adequately prepare for and manage sponsor visits

 

Monitoring of Registered Children

  • RC monitoring and follow up of the child wellbeing in accordance to the minimum programming standard (once every 90 days).
  • Support development of integrated monitoring plan in assigned area with ADP stakeholders
  • Complete and file the monitoring data in the children files.
  • Analyze and follow up critical RCs findings (especially RCs with challenges).
  • Compile monitoring reports for management action.
  • Hold monthly / quarterly meetings with Child Monitors and guardians/parents and child protection committees to address findings from monitoring.
  • Work with CDF to identify, train monitors and partners.
  • Provide information on support and benefit of RC to the CSDF and SDA to enable entry in STEP

Child Protection and Wellbeing

  • Monitor the wellbeing and child abuse cases and report any accordance in line with child protection policy and guidelines.
  • Work with local leaders to protection children from child violations and abuses on child protection.
  • Sensitization of children including all RC on child protection.
  • Sensitize children, guardians/parents and other stakeholders about children’s rights and responsibilities with a view to identify child violations.
  • Report cases of child abuse in the programme area.
  • Report cases of child incidents for follow up.

Qualifications: Education/Knowledge/Technical Skills and Experience

  • Only candidates with a minimum of a Bachelor Degree in in any of the following Health, Agriculture, Education and related fields will be considered; Community Health, Nutrition and Dietetics, Public Health, Environmental Science, Agriculture, Agribusiness, Education attained from a recognized institution of higher Learning.
  • At least one year of experience in Development work attained from an International NGO, with sound understanding of programming
  • You must be able to ride a Motor Cycle with a clean riders permit-class A

Job Description

· Conduct interviews with individuals and families to assess and review their situation.

· Develop plans to improve a client’s well-being.

· Refer clients for further assistance either internally or externally.

· Respond to crisis situations such as child abuse, neglect and Gender Based Violence.

· Follow up with clients to ensure that their situation has improved.

· Assist the social worker to conduct home visits for refugees at heightened risk in coordination with other HRTK-Uganda staff and keeps track of socio-environmental risks.

· Collect and make regular updates for data required for Sexual Based Violence Information Management system and HIAS database.

· Assist social worker to conduct community awareness sessions of GBV issues through drama, community dialogues, psychological first Aid and community healing activities.

· Perform other duties as required.

Requirements

Education – University degree in Social work or related field with a strong bias in counseling. Or Advanced college diploma along with extensive field experience working in the refugee assistance sector

Skills and competencies:

• Computer literacy a must: excellent working knowledge with WORD, ACCESS and EXCEL;

• Good knowledge of human rights doctrine and working experience in counseling;

• Experience in capacity building including facilitation of community-based training and awareness raising; • Good knowledge of child rights and prevention and response to SGBV issues;

• Good knowledge of Kampala and its environs;

• Strong interpersonal and communication skills;

No less than one year previous work experience in counselling or social work preferably in an NGO setting. Experience working with refugees a plus.

Languages: Proficiency in English and Swahili, basic French a plus.

  • A minimum of two years’ experience in programme development and implementation with an NGO. Relevant experience implementing, supervising, monitoring and evaluating community based child protection projects with NGOs particularly those addressing children’s rights.
  • Broad knowledge and understanding of child rights issues and child rights instruments.
  • Specific familiarity with child rights issues in the NGO world or work.
  • Ability to interact with communities; children and adults as well as other stakeholders at sub-county and district levels.
  • One year of experience in financial, planning and budget management.
  • Effective interpersonal  skills – oral and written communication skills

  • Strong documentation and reporting skills

Job Summary: The Assistant Project Control Officer will be responsible for all project control functions which complement programme management and provide support for oversight of projects including the formulation of a monitoring plan, quality assurance, and verification. Other activities of project control include: review of project agreements, project audit, monitoring that there is synchrony between financial and operational performance, participation in multi-functional monitoring activities and reviews, tracking project risk management, and supporting project closure. It is essential to maintain segregation of duties between project control and programme functions for effective accountability and oversight. The Project Control Officers play a very important role in maintaining harmonious and effective partnerships, and often interact with implementing partners. As a result, incumbents need to be very mindful of all dimensions of partnerships in their interaction with partners (in accordance with the Principles of Partnership, the Code of Conduct and other relevant documents).

Key Duties and Responsibilities:  

  • Actively contribute to reviewing that project agreements are in conformity with Country Operation Plans and UNHCR rules, policies and procedures.
  • Significantly contribute to tracking the management of project risks in collaboration with the programme unit, and report major risks to senior management.
  • Contribute to reviewing, analyzing and verifying Financial and Performance Implementing Partner Reports (Part I-IPFR and Part II-IPR), and to checking accuracy and consistency between IPFR and IPR, in accordance with project agreements.
  • Regularly monitor, track and verify that expenditure for direct implementation by UNHCR is in line with the approved budget.
  • Carry out reviews of the internal control systems of implementing partners and provide advice as required.
  • Provide input on identified variants, risks and issues to the partner, programme unit and escalate to management as required.
  • Support timely project closure in coordination with the programme unit.
  • Provide input to the mid- and end-year programme review process on issues related to project control.
  • Maintain professional relationships with implementing partners.
  • Keep up-to-date with all UNHCR rules, regulations and procedures necessary to perform these duties.
  • Perform any other duties as required.

Key Performance Indicators:

  • Assurance of project implementation and delivery of expected results within budget/resources, timeframe, and in accordance with project agreements is provided.
  • Resources transferred to implementing partners are utilized for the intended purposes and in accordance with project agreements.
  • Performance delivery and financial expenditure reported by implementing partners are accurate and consistent.
  • Programme and senior management are promptly informed of major variances and risks in the execution of projects (budgets, finance, implementation or timeframe).

Qualifications, Skills and Experience:

  • The ideal candidate for the United Nations UNHCR Assistant Project Control Officer job placement should hold a University Degree in Accounting, Finance, Public or Business Administration, Economics or related field, OR university degree in another field combined with a professional qualification in accounting, auditing or finance (CPA/CIA or equivalent).
  • At least two years of previous job experience in the field of accounting/finance, project management, business analysis, quality assurance and/or risk management.
  • Good knowledge of international auditing standards.
  • Excellent computer skills, in particular in MS Office applications.
  • Excellent communication and negotiation skills.
  • Excellent knowledge of English and working knowledge of another UN language.

Purpose of the position:

Contribute to achieving retention of out of school girls in schools through supporting the Project activities in line with the design and donor requirements; and supporting the roll out of best practices and models in a manner that promotes ownership and sustainability.

Major Responsibilities

  • Mobilize project participants for project activities;
  • Participate in school mapping exercise in preparation for project activities;
  • Supervise and monitor ongoing school based project activities;
  • Work with teachers, community volunteers to identify out of school children;
  • Collect school data and update it on a monthly basis to reflect attendance and retention of children
  • Maintain an updated register of schools data;
  • Produce timely, accurate, compliant and quality data for report;
  • Participant in project management meetings and reflection forums;
  • Support and participate in district education Advocacy initiatives;
  • Mobilization of teachers and parents for project activities;
  • Effectively document all information related to girl child enrolment trends in targeted school;
  • Responsible for capturing individual children attendance, performance and behavior indicators related to drop out of children;
  • Document good practices and project success stories and share them.

Knowledge, Skills and Abilities

  • A Bachelors Degree in Education, social science or any related field
  • Experience at working with pastoral communities is desirable
  • Knowledge of the local language is desirable
  • Good Training facilitation and coordination skills
  • Ability to monitor, report and document
  • Experience in data collection
  • Experience in working with teachers and school management committees is an advantage
