Duties and Responsibilities
Under the supervision of the Head/Deputy of OHCHR, the Management Assistant will be responsible for the following duties:
  • Drafting correspondence for Management as requested;
  • Monitoring and alerting on deadlines for submission of required documentation;
  • Supporting the Administration Team Leaders and Desk Officers in preparing and finalizing documents,
  • Maintaining and organizing the filing system for Administration Record, distribute and file in  Record, distribute and file in an efficient registry and filing system all incoming and Administration Section outgoing correspondence
  • Sourcing for quotations and making Analysis for the certification of the Administrative Officer
  • Prepare commitment letter for approved purchases
  • Receive and register new purchases
  • Issue items from the store and maintain proper update of store request forms and stock cards
  • Send quarterly request to the Administrative assistant for replenishment.
  • Check, process and record all payments
  • Administer invoice and expenses claims received
  • Book keeping functions
  • Any other related duties assigned.
Professionalism: Ability to implement administrative policies/principles, preferably related to project/programme implementation. Affinity with budgeting and accounting. Knowledge of UN activities preferable. Conscientious and efficient in meeting commitments, observing deadlines and achieving results. Calm in stressful situations.

Required Skills and Experience
Education:   Secondary Education preferably with specialized certification in Accounting and Finance.
University Degree in Business or Public Administration, Economics, Political Sciences and Social Sciences would be desirable, but it is not a requirement.
Experience: At least 2 years of combined progressively responsible experience in related area of work.
Language: Fluency in oral and written English.

Job Summary:

UN Jobs in Uganda 2017: The Administration Assistant will support the United Nations World Food Programme (WFP) in the provision of a range of processes and activities requiring some interpretation of standard guidelines/practices. The incumbent will support effective delivery and maintenance of client-focused, value-for-money oriented quality administrative practices.

Key Duties and Responsibilities:  


  • Prepare and support quarterly forecast expenditure (budget) for the CDPs and forward it for integration in the unit’s budget plan.
  • Record, coordinate & seek approval for destruction of old files and ensure retrieval of the old files for recycling as necessary.
  • Prepare and submit regular reports on Administration tenders for aged/overstayed, obsolete and damaged stock as necessary.
  • Ensure vehicle inspection reports are submitted monthly;
  • Ensure that all pre-service contracts and agreements are adhered to for timely renewal /cancellation through timely submission of evaluations.
  • Ensure there are valid contracts with the landlords of both warehouses and parking yards.
  • Ensure all warehouse assets such as furniture and equipment are inventoried and tracked and updated monthly.
  • Ensure staff separation/handover reports are properly filed.
  • Supervise and maintain an orderly warehouse filing system and archives and ensure easy retrieval of documents.
  • Manage the warehouse stationery store and ensure proper stock control (timely re-order level) and a prudent, cost effective utilization by both Nalukolongo and Tororo CDPs.

Human Resource:

  • Make/create the section’s Organogram (Chain of command or Organizational Chart) to align with the rest of the units & organisation.
  • Complete drivers’ PACE and also Follow up on all staff PACE
  • Submit Staff Training Plan as necessary
  • Follow-up and control daily attendance/absence of WFP staff.
  • Prepare the Annual attendance/leave staff sheet
  • Prepare monthly over-time request for onward submission for clearance and settlement.
  • Compute daily Security guards’ attendance/absence and consolidate the same in to the monthly attendance report.
  • Keenly monitor and compute staff Leave


  • Ensure timely preparation and submission of the Cleaning Services payment request.
  • Ensure Air Conditioners are serviced quarterly or as per schedule.
  • Prepare PRs for CDP/ EDP requirements whenever required
  • Enter all Logistics PRs and GRNs into WINGS
  • Enter all strategic Fleet and Warehouse staff TA/TECs into WINGS.
  • Ensure all Weighing Scales (For CDPs & EDPs), are serviced in time (every six months).
  • Ensure Goods Received Note (GRN) for all deliveries are promptly made & submitted to procurement for processing & payment.
  • Ensure timely preparation of payment request for utilities such as, UMEME, NWSC, etc.
  • Ensure cross boarder waybills are promptly identified, scanned, sent to clearing agents for timely release of URA documents.
  • Ensure proper management of all Non Food Items
  • Request and handle Petty Cash as and when required.
  • Open the Stores/containers and ensure they are properly locked with seals.

Job Summary

UN Jobs Uganda – The Assistant Field Officer will be supervised by the Snr Field Coordinator or Field Officer or Head of Sub-Office/Field Office depending on the structure of the Office. S/he will receive indirect guidance from other sections and units relevant to the country/regional programme(s). UNHCR Manual, programme and protection objectives, Operations Plans, UN and UNHCR financial/budgetary rules and regulations will guide the work of the incumbent. The incumbent does not normally have any direct supervisory role. S/he will have daily contacts with staff in the various field offices and with the functional units at the Country/Regional Office. S/he will also have close liaison with a range of local civilian and military authorities and counterparts in NGOs and UN agencies to discuss matters of common interest.


  • Assess the needs of persons of concern in the AoR and formulate project submissions in collaboration with district authorities and implementing partners.
  • Promote and monitor the implementation of assistance projects.
  • Report regularly on rate of flow of new arrivals and estimate expected influx based on interviews with persons of concern.
  • In co-ordination with implementing partners, assist with the reception, registration and provision of assistance to persons of concern to UNHCR.
  • Keep track of cases of detention; register applicants for voluntary repatriation and family reunion.
  • Assist in the preparation of monthly sectoral reports and submit material for preparation of periodic project monitoring reports and year-end reports.

Key Duties and Responsibilities:   Within limits of delegated authority, the Team Assistant / Administrative Assistant is responsible for the following duties:

Provide office support and carry out administrative functions:

  • Drafts responses to routine correspondence
  • Supports the team in reviewing documents and edit texts for accuracy, grammar, punctuation and style, and for adherence to established standards formats
  • Offers support in the implementation of operational strategies of the team within the service line by focusing on full compliance of administrative activities with RSCE rules, regulations, policies and strategies and the provision of inputs to the service line’s administrative business processes mapping and implementation of the internal standard operating procedures.

General Administration

  • Performs data entry functions.
  • Prepares processes and follows-up on administrative arrangements and forms related to the official travel of staff.
  • Maintains files of rules, regulations, administrative instructions and other related documentation.

  • Coordinates extensively with service line and liaises frequently RSCE and client mission staff.

Qualifications, Skills and Experience:

  • The ideal candidate for the United Nations Regional Service Centre Entebbe (RSCE) Team Assistant / Administrative Assistant job should have completed a high school diploma or equivalent is required. Certificate or diploma in the field of administration, finance, human resources or related area is an advantage.
  • At least four years’ experience in administrative services, finance, human resources or related area.
  • One year experience working in an international organization is desirable.

  • Routine collection of VSLA data.
  • Routine monitoring and support supervision for VSLAs.
  • In charge of preparation of monthly and weekly work plans.
  • Preparation of project progress reports.

Qualifications, Skills and Experience: 

  • The applicants for the USAID Community Based Trainer jobs should hold O-Level Certificates (6 Passes) or its equivalent.

Key Duties and Responsibilities: 

Shipping/Clearing Duties:

  • Prepares renewal forms for road licenses for GOV/POV. Tracks inbound/outbound shipments and keeps office Excel tracker updated.
  • Processes necessary documents for clearing customs and URA exemptions.
  • Coordinates actions of shipping and clearing agents.
  • The incumbent coordinates with shippers and customers for the delivery of goods. Processes vehicle transfers/registrations/de-registrations.
  • Facilitate and oversee HHE/UAB/POV and Consumables shipments.
  • Ensure timely processing of official shipments.
  • Ensure timely responses to Shipping agents and Customers.

Pouches: Facilitate the clearance and delivery of Classified/Unclassified pouches.

Expediting Duties:

  • Meets new mission personnel and official visitors at the airport, receives passports and tags, pass through immigration, identifies the baggage, for through customs and transport them to destination.
  • Arranges for VIP Lounge and works with security officials during visits of VIP visitors.
  • Processes passports upon arrival and departure through the VIP Lounge.  Checks VIP visitors in departure and handles passports.
  • Processes passenger at ticket counter and immigration, assists by completing departure forms.
  • Remains at airport until departure of plane.

Qualifications, Skills and Experience:

General Cleanliness and Tidiness of Office:

  • Conduct a weekly stock check to ensure adequate stocks of cleaning materials, hygiene supplies and kitchen items such as tea / coffee, milk etc. Liaise with Operations and Administration office to ensure orders are placed.
  • Actively participate in setting up furniture for staff meetings and training as required whenever called upon.

  • Assist in directing office visitors/guests to respective offices.
  • Perform any other Housekeeping tasks as required by Administration and Operations or Senior Staff Members.
