Job Title:    Administrative Assistant (War Child Uganda Jobs)

War Child Uganda Jobs: War Child Holland (WCH) is an international non-governmental organization investing in a peaceful future for children and young people affected by armed conflict. Since 2004, War Child Holland has been working in Uganda and currently operates in Acholi and Holland Lango.

Job Summary: The Administrative Assistant will provide support with general administration and logistic tasks. He/she also represents War Child Holland and War Child Canada as receptionist.

Key Duties and Responsibilities:  

Logistics/Administrative Tasks:

  • Responsible for weekly movement plans for staff and cargo in coordination with Logistic Officer;
  • Responsible for bookings of hotels and flights for staff/visitors and inform respective staff/visitors about this;
  • In charge of the preparation of monthly fuel and maintenance reports for Logistics Officer;
  • Responsible for monitoring efficient usage of office supplies, pro-actively make suggestions for improvements, and preparation of monthly purchase requests;
  • Responsible for monthly overview of Caller User Groups and allocation of airtime;
  • Tasked with monitoring the usage of utilities and pro-actively make suggestions for improvement;
  • Support the team with general administrative tasks (e.g. making minutes, scanning, printing, making appointments)
  • Support in organizing workshops and trainings;
  • Support in archiving of project documents as per request of Country Director and/or Program Manager.

Reception:

  • Welcome and direct all visitors to respective offices;
  • Responsible for a welcoming and hygienic reception area;
  • Tasked with planning of usage of meeting room;
  • Ensure parcels/cargo are delivered to the responsible persons;
  • Keep a proper office telephone log.

Qualifications, Skills and Experience: 

  • The ideal candidate should preferably hold a Bachelor’s degree in Logistics, Business Administration or any related field.
  • Good computer skills; proficient in Word, Excel and PowerPoint.
  • Ability to organize, multitask and prioritize.
  • Excellent communication and customer care service skills.
  • Ability to work independently and accurately.
  • Ability to speak and write good English.
