Job Summary:
The Procurement Officer will oversee purchasing and procurement functions related to supplies, equipment, and services. They will ensure procurement activities are conducted efficiently, cost-effectively, and in compliance with organizational policies and donor requirements. This role involves maintaining procurement records, coordinating with vendors, and facilitating accurate documentation to Finance.
Key Duties and Responsibilities:
- Representation/Engagement: Conduct market research, liaise with vendors, and build positive relationships with staff and contractors.
- Compliance: Manage supply chain functions, ensure compliance with procurement policies, and maintain accurate procurement records.
- Data Management: Track vendor invoices, update procurement spreadsheets, and monitor orders for timely delivery.
- Administration: Capture approved quotations in SAGE, review invoices, prepare VAT and DUTY exemptions, participate in budget preparation, and assist in bid analysis.
- Additional Responsibilities: Perform any other duties assigned to improve the operations of CWS Africa.
Qualifications, Skills, and Experience:
- Bachelor’s Degree in Business Administration, Supply Chain Management, or related field OR 7 years of relevant experience.
- Diploma in Purchasing and Supplies Management preferred.
- Minimum of Five (5) years’ experience in procurement or similar administrative roles.
- Proficiency in Microsoft Word, Excel, Access, and Outlook.
- Working knowledge of SAGE and 2 CFR 200.
- Strong organizational, time management, and English communication skills.
