Job Summary: The Accounts Assistant (AA) plays a pivotal role in managing day-to-day bookkeeping processes in a timely and proactive manner, aligning with Lifewater International’s standard accounting procedures. Under the supervision of the Finance and Accounting Manager, the AA performs various accounting tasks including transaction processing, financial report and budget preparation, ledger maintenance, filing system management, vendor communication, petty cash management, inventory management, providing administrative support to the accounting and finance department, and other related duties as required.

Key Duties and Responsibilities:

Petty Cash Management:

  • Prepare petty cash replenishment report and withdraw petty cash funds from the bank.
  • Conduct planned and unplanned petty cash counts.
  • Ensure safe custody of cash in the office.
  • Regularly update the petty cash ledger.
  • Prepare monthly petty cash reports and reconciliations.
  • Ensure timely disbursement of cash.
  • Data entry into Business Central for approval and posting.

Financial Management and Reporting:

  • Prepare receipts for cash and check deposits.
  • Review accountability and expense settlement forms from staff and initiate general Journal in BC.
  • Collect receipts from vendors with completed payments.
  • Ensure payments are initiated as per approved requests and budget.
  • Initiate payments on Business Online for approval.
  • Prepare monthly bank account reconciliations.
  • Update and clear accounts payable and receivable regularly.
  • File supporting documents for all accounting transactions in line with LI policies.
  • Assist in filing monthly statutory deductions (WHT, PAYE, LST, NSSF).

Inventory Management:

  • Custodian of key LI items and documents.
  • Ensure the asset register in BC is regularly updated.
  • Support in the disposal process of LI assets.
  • Conduct physical inventory counts quarterly.
  • Support in the procurement of inventories.
  • Ensure proper control of LI inventories.

Confidentiality:

  • Maintain confidentiality of financial information.

Qualifications, Skills, and Experience:

  • Diploma in Accounting, Business Studies, Business Administration, or related field.
  • Bachelor’s degree/CPA is an added advantage.
  • Minimum of two years of experience in a similar position, preferably in an NGO.
  • Proven experience in bookkeeping.
  • Knowledge of finance and accounting procedures.
  • Strong planning and organizational skills.
  • Attention to detail and accuracy.
  • Proficiency in computer skills including spreadsheets, Internet, Email, and accounting software like Business Central.
