Job Title: Senior Associate – Finance and Administration

Organization: International Livestock Research Institute (ILRI)

Duty Station: Kawanda, Kampala, Uganda

Job Summary: As the Senior Associate in Finance and Administration at ILRI Uganda, you’ll play a crucial role in providing comprehensive support to the country office. Reporting administratively to the ILRI Uganda Country Representative and technically to the Deputy Finance Manager, you’ll oversee daily finance and administrative functions, ensuring compliance with ILRI and hosting institute policies.

Key Duties and Responsibilities:

Administrative Duties:

  • Coordinate administrative tasks for the ILRI Uganda office.
  • Manage office assets, including inventory listing and insurance.
  • Facilitate office maintenance and repairs.
  • Organize meetings, seminars, workshops, and conferences.
  • Arrange travel logistics for staff.
  • Draft contracts, payment sheets, and other administrative documents.
  • Ensure compliance with ethical and research permit requirements.

Cash Management:

  • Oversee banking operations and cash accounts reconciliation.
  • Prepare cash projections and manage petty cash.
  • Monitor expenses and ensure timely payments.
  • Liaise with the host organization for financial reporting.

Reporting, Budgets, and Audits:

  • Code expenses accurately and prepare monthly reports.
  • Assist in budget proposal preparations.
  • Support annual audits and project-specific audits.

Payments, Record Keeping, and Travel Management:

  • Process payments and ensure compliance with institutional policies.
  • Review and approve travel advance requests.
  • Coordinate procurement processes.

Qualifications, Skills, and Experience:

  • Bachelor’s degree in Business Administration, Finance, Accounting, or related field.
  • Minimum of five years of relevant work experience, preferably in an international organization.
  • Strong knowledge of accounting and budgeting practices.
  • Excellent interpersonal and multitasking skills.
  • Client service-oriented with integrity and transparency.
  • Proficiency in computer skills, including Excel and accounting software.
  • Experience with Agresso software is preferred.
  • Familiarity with the CGIAR system is an advantage.
  • Fluency in English, both written and spoken.
