Infectious Diseases Research Collaboration (IDRC) Profile

The Infectious Diseases Research Collaboration (IDRC) is a non-profit research organization. IDRC conducts research in infectious diseases including Malaria, HIV and Tuberculosis. Our studies have led to over 300 publications and have impacted on the management of infectious diseases in Uganda. IDRC currently manages over 41 Grants with an annual budget of $11 million. IDRC was established in May 2008 by Ugandan health scientists from Makerere University College of Health Sciences, University of California, San Francisco and the Uganda Ministry of Health.

 

 

Job Summary:

The Administrative Assistant will support the site Administration department by attending to staff needs and performing tasks as delegated by the Administrative and Logistics Officer.

 

 

Roles and Responsibilities:

  • Organizing site meetings by sending out notifications, meeting agenda, taking minutes and following up on all administrative action points.
  • Quickly responding to needs and requests through emails and phone calls.
  • Support the Administrative and logistics officer in management of the transport function i.e. planning for journeys, ensure vehicles hired are in good condition and review of trip log books.
  • Support in proper filing and storage of all records for audit purposes.
  • Support in review of all documents for accuracy before processing e.g. ensure all petty cash requests have supporting documentation, are approved and are within budget before submission to Finance for payments.
  • Participate in staff meetings.
  • Support logistics office in petty cash procurements at the different supermarkets.
  • Ability to drive a manual vehicle.

 

 

Minimum Qualifications

  • The applicant must hold a Diploma in Project Planning and Management, office management, Records Managements or any Business related field.
  • Good communication skills.
  • Good computer skills.
  • Team work.
  • Previous experience in similar work is an added advantage.
  • Must have a valid driving license.
