The Uganda National Institute of Public Health (UNIPH), a key entity under the Ministry of Health, plays a vital role in enhancing the public health landscape through the efficient management of health informatics programs and the coordination of national and regional public health emergency operations centers. Funded by the Korean Foundation for International Healthcare, UNIPH aims to fortify its operational capabilities and extend its impact across public health spheres.

Job Summary:

We are seeking a dedicated Administrative Assistant who will be instrumental in supporting the Health Informatics Program by managing daily administrative tasks and ensuring smooth and efficient project operation. The role demands a high level of organizational skills, adept handling of logistics, and effective communication across various levels of the organization.

Roles and Responsibilities:

  • Meeting Coordination: Organize and schedule departmental and stakeholder meetings, ensuring all logistical aspects are handled efficiently.
  • Event Planning: Assist in organizing workshops, trainings, and other project-related events.
  • Logistical Support: Provide logistical support to field officers to facilitate successful field operations.
  • Communication Management: Handle internal and external communications, draft correspondences, and manage communication channels.
  • Procurement Assistance: Support the procurement process for essential equipment and supplies.
  • Document Management: Maintain an organized filing system for both digital and physical documents related to project activities.
  • Administrative Support: Execute additional administrative, logistical, or support duties as required to support the project’s goals.

Skills and Qualifications:

  • Bachelor’s degree in Arts, Social Sciences, Human Resource, Business Administration, or a related field.
  • Minimum of 4 years’ experience as an administrative assistant, preferably within a health-related organization.
  • Proficiency in MS Office applications and experience in setting up Zoom for online meetings.
  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Certificate in Administrative Law is an added advantage.

Additional Requirements:

  • Proven ability to manage multiple tasks while maintaining sharp attention to detail.
  • Excellent problem-solving skills with a proactive approach to identifying and handling issues.
  • Ability to maintain a high level of professionalism and confidentiality.
