Job Title: Human Resource Office Assistant (02 positions)

Contract Period: 4 Months

Job Summary: The Human Resource Office Assistant will play a vital role in providing administrative and clerical support within the Human Resource Department. This includes assisting in various office operations, maintaining supplies, handling documentation, and ensuring the smooth functioning of the HR office.

About NIRA:

The National Identification and Registration Authority (NIRA) was established by the Registration of Persons Act (ROPA), 2015 and is mandated to establish and maintain the National Identification Register (NIR). The Authority is also charged with, among other things, the registration of citizens and legally resident aliens; assigning National Identification / Alien Identification Numbers (NINs/AINs) to qualifying persons and issuing Identification Cards to those 16 years and above; registration of births, deaths, and adoption orders and issuance of the relevant certificates.

Key Duties and Responsibilities:

  • Provide administrative and clerical support to the Human Resource department.
  • Manage and organize office operations, including maintaining office supplies, handling incoming and outgoing mail, and ensuring a tidy workspace.
  • Schedule appointments, meetings, and maintain calendars for HR staff.
  • Offer general administrative support, including data entry, filing, and documentation.
  • Organize and maintain all HR-related documentation, both in physical and digital formats.
  • Receive, dispatch, and file HR-related documentation appropriately.
  • Assist in the preparation of HR-related reports, letters, and other documents.
  • Ensure compliance with data protection and privacy regulations, including the Data Protection and Privacy Act 2019.
  • Perform any other duties as assigned by the Human Resource Officer.

Qualifications / Education:

  • Bachelor’s degree with Honours in Human Resource, Community Psychology, Social Sciences, Business Administration, Management, or related field.

Experience and Skills:

  • Proven experience in administration will be advantageous.
  • Previous human resource management experience is beneficial.
  • Proficiency in Microsoft Office Suite and basic office software.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to work efficiently under pressure and meet deadlines.
  • Capacity to work both independently and as part of a team.
  • High level of confidentiality and integrity.
  • Comfortable working on computers for extended periods.
  • Flexibility to work weekends and travel when necessary.
  • Empathetic, good listener, and innovative problem solver.
  • Detail-oriented with a focus on accuracy.
  • Team player with a positive and proactive attitude towards work.
